CANCELLATION POLICY
We understand that sometimes things don’t go as planned and we want to accommodate runners where possible when life happens. Take a minute to review the following details regarding registration and cancellation terms.
Refunds, Deferrals, and Transfers
1. Refund through the Refund Protection Program
- A full refund of a registration fee is ONLY available to those who purchase the optional third-party Refund Protection Program offered by Race Roster at the time of registration (exception for our Pregnancy and Postpartum policy).
- Details on the refund program and how to make a refund claim can be found through this link: Refund Protection Program.
- If the reason for withdrawing is not covered under the Refund Protection’s program terms, you can still defer your entry, or transfer your bib to another runner.
2. Deferral into the same event the following year
- You can defer your entry into the same event the following year.
- To receive a 100% deferral of fees, please make your deferral request up to 30 days before the race day.
- Entries can only be deferred a single time to the following year’s event.

3. Transfer your entry to a different participant
Transfers may be completed up to October 30, 2025.
Instructions to complete a transfer to a different participant:
- Existing participant finds a new participant to take the registered entry.
- Existing participant visits the event registration page.
- On the right side of the page, click the TRANSFER button.
- New participant signs in to Race Roster account.
- Choose new athlete tab and enter email address of new participant.
- New participant watches for email from Race Roster stating transfer initiated.
- New participant clicks link in email and completes transfer details and makes payment (including transfer fee).
- Original participant is refunded once the transfer process is completed by the new participant.
- NOTE: There is a $10 administration fee to transfer to a different participant.
4. Transfer your entry to a different distance (only permitted to move down in distance, not up in distance)
Transfers may be completed up to October 30, 2025.
Instructions to transfer your entry to move down in distance:
- Go to the event registration page.
- On the right side of the page, click TRANSFER button.
- Sign into your Race Roster account.
- Choose the new sub event distance that you would like to participate in.
- Complete transfer details.
- NOTE: There are no refunds when downgrading to a shorter distance.
It is imperative that the transfer is fully completed by both parties online. In the event of an accident or medical emergency it is imperative that we have the correct racer information for each participant. Incorrect information can have serious consequences. It is also important to have correct racer information to ensure accurate race results and that deserving athletes receive the recognition they earn.
If you are unable to run and your entry is not refunded, deferred or transferred to another runner, you may pick up your race shirt (if you registered prior to deadline), at the announced race package pickup dates, times and locations specific to each event.
Note: there will be no post-race package pickup.
Pregnancy and Postpartum Policy
If you become pregnant after registering, have just had a baby, or are experiencing any other reason surrounding pregnancy or child birth that you feel your body isn’t in a place you feel comfortable running yet, we are happy to defer your entry to the following year or provide a full refund (less processing fees). Please reach out with an email to info@peaksnvalleys.ca to let us know by October 29, 2025.
Event Cancellation
Should an entire event be cancelled for reasons including, but not limited to, weather, forest fires, wildlife, acts of nature, war, strikes, Covid-19 and/or other Public Health Orders, or any other circumstances, registered participants shall receive the following:
- A partial refund calculated based on factors and expenses already incurred at the time of the cancellation.
- The option to donate any applicable refund to the non-profit community partner(s) benefitting from event proceeds.
- A discount code for entry into the same event the following year.
- Early access to registration to the same event the following year.
- The option to receive event merchandise if it has already been produced at the time of cancellation. (Participant to cover any shipping fees, if applicable).
